Comparing task management apps for Slack

Tasks get lost in Slack. Someone mentions a to-do in a thread, it scrolls away, and nobody remembers it by Friday. There are several tools that solve this, from Slack's own Lists feature to third-party apps. This guide compares the five main options: what each does well, where it falls short, and what it costs.

If you just want a quick recommendation: Slack Lists is solid if your team is already on a paid Slack plan. If you're on the free plan or need recurring tasks, Let's Do or ToDoBot are the best Slack-native options. If your team already uses Todoist, its Slack integration handles basic task capture.

Feature comparison

We're focusing on tools that work within Slack, not external project management tools that happen to send Slack notifications. For a broader look at to-do list options in Slack, including Canvas checklists, we have a separate guide.

Slack Lists

What it is: Slack's built-in task tracking feature with table and board views, custom fields, and workflow automation.

Best for: Teams already on a paid Slack plan that want task tracking without adding another app.

Strengths:

  • Built right into Slack, no extra app to install
  • Custom fields and status columns for structured tracking
  • Workflow Builder integration for automating due date reminders and status changes
  • Subtasks with their own assignees and due dates
  • Board and table views for different work styles

Limitations:

  • Requires a paid Slack plan. Pro costs $7.25/user/month (annual), so a 10-person team pays $870/year just for Slack before you get to Lists.
  • No recurring tasks. If you have weekly reports or monthly reviews, you recreate the item each time.
  • 1,000 items per list on Pro and Business+ (5,000 on Enterprise). Oldest items get auto-archived at the limit.
  • Cross-list view is limited to an "Assigned to you" section. No full team overview across all lists.

Let's Do

What it is: A task management app built specifically for Slack, with shared to-do lists in channels, assignments, due dates, and recurring tasks. Full disclosure: this is our app.

Best for: Teams on Slack's free plan that need real task management, or any team that wants recurring tasks and a team overview inside Slack.

Strengths:

  • Works on any Slack plan, including free
  • Recurring tasks with daily, weekly, monthly, and custom schedules
  • Team overview dashboard showing tasks across all channels
  • Pin to-do lists in channels so they stay visible
  • Subtasks, personal to-do lists, and automatic due date reminders
  • Flat pricing ($14/month for up to 15 users), not per-seat

Limitations:

  • No custom fields or status columns (keeps things simpler, but less flexible than Slack Lists for structured project tracking)
  • No board or kanban view
  • No web app outside of Slack. Everything happens inside Slack, which is the point, but if you want a standalone interface, this isn't it.
  • Free tier limited to 25 uncompleted todos. Paid plans start after a 14-day trial of all features.

ToDoBot

What it is: A Slack-native task management bot with shared lists, assignments, reminders, and recurring tasks.

Best for: Small teams or individuals who want a free option for basic task tracking in Slack.

Strengths:

  • Free plan with up to 10 open todos (unlimited users)
  • Recurring tasks that regenerate when completed
  • Multiple ways to create tasks: DM, slash command, message actions, or the App Home tab
  • Built-in reminders with snooze options (postpone 1 hour or to the next day)
  • Fully Slack-native, no external app needed

Limitations:

  • Free plan caps at 10 open todos, which is tight for teams
  • No subtasks (has checklist templates, but not subtasks within individual tasks)
  • No team overview or cross-list dashboard
  • Paid plans scale by user count: $10/month for 5 users up to $50/month for unlimited

Workast

What it is: A task and project management tool with both a Slack integration and a separate web app.

Best for: Teams that want task management connected to Slack but also need a standalone web interface for project planning.

Strengths:

  • Free Essential plan with unlimited tasks and users
  • Recurring tasks (daily, weekly, monthly, weekdays)
  • Separate web app for more detailed project management (timelines, activity logs on Pro)
  • Per-user pricing starts at $4.95/user/month (annual), competitive for larger teams
  • Custom forms for task intake from non-Slack users

Limitations:

  • Free plan archives tasks after 30 days. Both completed and active tasks become inaccessible.
  • Advanced features (subtasks, tags, templates, dependencies) limited to 10 uses on free and Standard plans. Unlimited only on Pro ($9.95/user/month).
  • Private channel tasks require a paid plan
  • Split experience: some things happen in Slack, others require the web app. Can feel fragmented.

Todoist

What it is: A standalone task management app with a lightweight Slack integration for quick task capture.

Best for: Teams already using Todoist who want to create tasks from Slack messages without switching apps.

Strengths:

  • Powerful task management in the Todoist app itself (recurring tasks, subtasks, filters, boards, calendar views)
  • Create tasks from Slack with /todoist or by converting messages
  • Free plan available with up to 5 projects and 300 tasks per project
  • Strong mobile apps for managing tasks outside of work

Limitations:

  • The Slack integration is essentially a quick-capture tool. You can create and complete tasks, but viewing your task list, editing details, managing subtasks, and configuring recurring tasks all require the Todoist app.
  • No App Home tab in Slack, no way to browse tasks without leaving Slack
  • Per-user pricing: Pro is $5/user/month (annual), Business is $8/user/month. Adds up for larger teams.
  • Two separate apps to manage. If your team lives in Slack, constantly switching to Todoist adds friction.

Which should you pick?

It depends on your situation:

  • Already on Slack Pro and want zero setup? Slack Lists. It's built in, has custom fields, and works well for structured project tracking.
  • On Slack's free plan and need real task management? Let's Do or ToDoBot. Both are fully Slack-native with assignments, due dates, and recurring tasks.
  • Need a web app alongside Slack? Workast. It bridges both worlds, though the free plan's 30-day retention limit is worth noting.
  • Already use Todoist? The Slack integration is good enough for capturing tasks from messages. But if you're starting fresh, a Slack-native tool will feel more integrated.
  • Need recurring tasks? Let's Do, ToDoBot, Workast, or Todoist. Slack Lists is the only option here that doesn't support them.
  • Need custom fields and workflow automations? Slack Lists is the strongest option here.
  • Budget-conscious with a larger team? Let's Do's flat pricing ($14/month regardless of team size) becomes the best value at around 4+ users compared to per-seat options.
